Executive Assistant (f/m/d) - Commercial / SAP /GSuite / stakeholder / German

Project:
For our customer Roche Diagnostics International AG based in Rotkreuz we are looking for a highly qualified Executive Assistant
Background:
The successful candidate for this position will be located at the Roche Rotkreuz office. Provides analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties. Coordinates LifeCycle Team (LCT) Call agenda in collaboration with Portfolio Management and LifeCycle Leader. May handle special projects and execute research and data analysis tasks. Analyses problems, determines approaches, compiles and analyses data and prepares reports and recommendations. Coordinates activities between departments and outside parties. Contacts company employees at all organizational levels to gather information. Work is generally of a critical or confidential nature. Represents the Team in a polished and professional manner. Assignments may be in various functional areas.
The perfect candidate has a commercial diploma and more than 5 years of experience in administrative tasks. The candidate has very good computer skills and is fluent in English.
Tasks & Responsibilities:
* Supports assigned LifeCycle Leader and team with a variety of highly advanced and complex administrative and operational activities including but not limited to Scheduling and coordinating onsite/offsite meetings and/or larger-scale events
* Manage the agenda of the LifeCycle Leader, according to best practice time management principles, allowing for planned and unplanned work, to be effective in efficiently meeting LCT and RDS (Roche Diagnostics Solutions) targets.
* Coordinating domestic/international travel and conference calls
* Channeling LCT communication and/or materials
* Coordinating and managing department/functional interview scheduling, office moves, office
* Supply management and vendor relationships
* Managing the budget for the team monitors Travel & Expenses and/or M&D costs against budget,
* Researches and analyzes discrepancies
* Creating and submitting purchase orders and compiling expense reports
* Manage Intranet and gDrives and assists with filing and organization of information.
* Provides support on editing and formatting executive-level presentations, reports and others
* Legal and business documentation, compiles highly confidential business and financial information
* Serves as the "go-to-person" for general operational or administrative inquiries requiring exceptional knowledge of departmental and organizational policies and procedures.
* Develops and/or delivers administrative services training materials and tools; Supports the training and onboarding efforts for department/ functional new staff on administrative processes, systems, practices, tools, etc.
* Partners with personal assistants on a routine basis and provides backup support to Leadership, demonstrating flexibility, adaptability and positive demeanor in the face of change; provides backup support to teams outside of own work area and across functions, as necessary
* Actively participates in internal company meetings with other administrative professionals,
* promotes new ways of working, improvements in work processes and fosters an exchange of ideas and support among colleagues
* Support specific project work on special request
* Acts as a "culture ambassador" for the team and displays a professional demeanor that can serve as a role model and example to others, lead company-wide and/or site-wide administrative project initiatives, may train and onboard new administrative staff
Must Haves:
* Commercial (KV) education or similar education
* Min. 5 years of experience in a similar role
* Computer skills with GSuite applications, MS Office and SAP
* Fluent English verbal and written communication skills. Communicates clearly, concisely, thoroughly and in a highly professional and timely manner with all internal and external partners/stakeholders
* Good to very good German skills
* Organizational and planning skills, including the coordination of multiple activities
* Business and financial acumen; has an in-depth and thorough understanding of business operations and capable of performing financial and other business analyses and reporting
* Attention to detail
* Experience developing and/or delivering group presentations, administrative services training materials and tools
* Proven track record and experience handling highly confidential or sensitive information in a consistently appropriate and effective manner
* Eagerness to learn and willingness to proactively contribute to overall business success and team health
* Problem-solving and decision-making skills
* Leadership skills and ability to drive process improvement best practice initiatives across an organization
* Partnering and negotiation skills and ability to influence others without authority; strong interpersonal skills and considerable organizational savvy; knows how to navigate internally to find the appropriate resources and contacts in an expeditious and effective manner
